The award asks you to create your own documents to help you manage your award, this includes invoices in order that you get paid, and letters / emails to organisations to set up activities like paid performances.

You must keep copies of your activities to show us. To make that easier, we’re providing you with some helpful advice and templates to use. You will need to adapt these to your own situation and make them relevant for the activity you are undertaking.

If you don’t have a computer, you can hand-write documents like the invoice or letters, or design a poster by hand, and photograph them with a phone for evidence. We are interested in your knowledge, not the format.

Professional Letters

An important part of the award is learning to communicate confidently and professionally with people and organisations you’d like to work with. This will help you secure paid performances, build good relationships and help you grow your network.

When you write a formal letter, it’s important to keep several things in mind to ensure the quality of the letter. Here are some tips to consider:

  • Be clear and concise. The introduction of your letter should clearly state the purpose of your correspondence. Make sure to keep it short and to the point.
  • Proofread. Before sending your formal letter, read it over for spelling and grammar errors. A letter free from error will come across as more professional.
  • Use the right tone. Keep in mind that a formal letter will require a more formal and professional tone than one you would write to a friend or relative. Avoid any slang and make sure you’re being respectful.

Invoices

In order to be paid for the performances you organise, you will need to issue an invoice. Invoices require the following information on them:

  • Your name, address and contact details
  • The name and address of the organisation you are invoicing.
  • A clear description of what you are changing for, describing the activity
  • The date you provided the performance / activity
  • The amount you are expected to be paid.

Income and Expenses

As part of the Music Enterprise Award, you need to keep a track of the money you are earning through your activities, as well as any money you need to spend on things like travel when you are arranging your activities. Keeping track of these amounts of money help you see clearly how close you are getting to your target amount.
